In order to obtain your desired appointment, we recommend scheduling your appointment as far in advance as possible. Full payment of any service is required at the time of booking to guarantee your reservation. Paying for a service in advance is non-refundable. Please arrive 10 minutes prior to your appointment. Your service begins at the time scheduled. We ask you turn your cell phones on silent during your services, use the restroom before the appointment and take phone calls outside of the spa. No extra guests are allowed at the spa.
Easily book your appointments online from our website at www.hotbodywrap.com. Online bookings require a full payment using credit or debit card. All service sales are non-refundable. While booking your appointment online, please check the SMS reminder tab. We send email confirmations and text message reminders 24 hours before your appointment time. You can easily reschedule or cancel your appointment anytime prior to 24 hours before your scheduled appointment time without affecting your payment. Simply change or cancel while in your account on our website or by calling/texting us at 571-549-1077. If you need any assistance, please let us know. We will be more than happy to help you.
Our spa treatments are reserved especially for you. We value your business and ask that you respect the spa's scheduling policies. Should you need to cancel or reschedule, please notify us at least 24 hours in advance of your scheduled appointment. Any cancellations or rescheduling with less than 24 hours of notice or no-show appointments are subject to a cancellation fee amounting to 100% of the cost of the scheduled service. This is considered as a "Late Cancel". We recognize the time of our clients and staff is valuable and have implemented this policy to ensure you receive the best service possible. We appreciate your understanding. When you schedule your appointment with us, you are agreeing to these policies. All services require payment to guarantee a reservation so please have your credit card ready when booking. Please call 571-549-1077 to make changes to your appointment. In case, we don't answer, please leave us a voicemail with your name, phone number and a brief message and we will give you a call or text back within 24 hours.
BEFORE OR AFTER HOURS FEE
There is a fee of $50 in addition to the service price. Before hours are from 6 am - 9 am and After hours are from 7 pm - 9 pm. You will receive an invoice via email and once paid, we will send you an email confirmation of your appointment. Or we can use your credit/debit card on file.
All spa appointments have been designed to allow appropriate time for full enjoyment of each service. Your late arrival may limit our ability to offer the fullest possible experience. Please be aware that late arrivals will not be guaranteed extension of scheduled treatments. Treatments will be rendered only for the remainder of the scheduled appointment and you will be responsible for payment for the full service. Please call, text, or email if you are running behind. Clients who fail to notify us within fifteen (15) minutes may be subject a forfeiture of his/her allotted time.100% of the service rate will still be charged.
LATE CANCEL/ NO SHOW
All "Late Cancel" or "No Show" appointments will be subject to our cancellation fee amounting to 100% of the cost of the scheduled service. To reschedule, you will need to go back online, reschedule your appointment and pay in full again. If there are late cancellations on multiple occasions and inconsistencies with attendance, HOT BODY WRAP reserves the right to terminate any pending appointments.
Scheduling requires a valid credit card entry to secure an appointment. A $40 hold is required to secure a Groupon appointment. The fee will only be applied to clients who fail to abide by our cancellation, rescheduling, and no-show policy. All service sales are final. Paying for a service in advance is non-refundable. Clients will need to reschedule the appointment that was paid in advance within thirty (30) days. We will allow a one-time rescheduling to happen. You will forfeit your appointment if you need to reschedule for a second time. Rebooking an appointment will require a new payment. Please provide your Groupon Redemption Code and expiration date in the message box upon booking. Your Groupon will be verified prior to your appointment. Expired Groupon's will not be accepted. Expired Groupon vouchers will be cancelled.
SINGLE TREATMENTS & PACKAGES POLICY
Late cancel or no shows will be considered “complete” in regards to your single or package usage. Paying for a package(s) in advance is non-refundable. HBW Members with packages - please schedule your appointments accordingly and keep track of your package expiration date. That way we can avoid any disappointments about appointments. Use the booking option "Prepaid Packages Only" and then select your package type and schedule your appointment easily online.
Single Treatments are good for one (1) month from date of purchase.
Any 3 or 5 Packages are good for three (3) months from date of purchase.
MONTHLY MEMBERSHIP POLICY
Late cancel or no shows will be considered “complete” in regards to your monthly membership usage.
• A membership can only be charged to one credit card, but sessions can be shared.
• Unused sessions will not rollover to the next month. Use It or Lose It Policy.
• Membership require a three (3) month commitment with a monthly recurring charge.
• There is an early cancellation penalty fee of $75 if you cancel within the 3 month commitment.
• If you use all your sessions in the 30-day period, you may purchase additional at the same price per session as your membership price.
• Cancellation is permitted after the initial 90 - day commitment period.
• All changes or cancellation of membership MUST be in writing. Please email at least seven (7) days prior to your next billing date.
• Once a membership is cancelled, any remaining sessions will remain available for use only until the end of that billing cycle. Any unused sessions at the end of the billing cycle are forfeited.
TERMS, RULES AND REGULATIONS
Any and all participants are required and agree to sign a waiver and release of liability prior to participating in any session or part thereof at Hot Body Wrap, LLC, and must comply with all rules and regulations as set forth in the consent form.
Hot Body Wrap, LLC at its sole discretion, may change any rules and regulations as needed.
Hot Body Wrap, LLC reserves the right to deny participation and/or termination of any participant who does not comply with any and all policies, rules and regulations, for any improper misconduct or any reason not stated or prohibited by law.
No one under the age of 18 is permitted to participate in a session.
Do not bring any extra guests to your appointments. One on one sessions at this time.
Anyone over the age of 65 needs to consult and get consent from physician they are in good standing of health to participate in any part thereof, an infrared body wrap. The ability to maintain core body temperatures decreases with age due to circulatory conditions and sweat gland functioning.
Operating Hours may vary and temporarily close as needed by Hot Body Wrap, LLC.

Once payment is made, there are no refunds or exchanges for packages, products, or services.
